{"id":393,"date":"2018-03-12T05:00:15","date_gmt":"2018-03-12T10:00:15","guid":{"rendered":"https:\/\/rb-sns.com\/RB\/blog\/?p=393"},"modified":"2018-03-29T16:58:01","modified_gmt":"2018-03-29T21:58:01","slug":"creating-effective-rfp","status":"publish","type":"post","link":"https:\/\/rb-sns.com\/RB\/blog\/creating-effective-rfp\/","title":{"rendered":"Creating an Effective RFP"},"content":{"rendered":"<p>Sooner or later we all need to solicit proposals that provide solutions to a problem.\u00a0 This might be a request for an application, a service, or products.\u00a0 It should come as no surprise that an effective RFP process accurately\u00a0defines the problem.\u00a0 However, there is more detail that makes up an effective RFP.<\/p>\n<h2 class=\"null\">What is a Well Defined Problem?<\/h2>\n<p>The challenge of a technical RFP is often the language required to create one.\u00a0 The technical staff provide\u00a0input (or possibly the entire response) to an RFP, so it is essential to communicate to them directly.\u00a0 Miscommunication can make responses invalid or worse.\u00a0 However, the writers of the RFP are usually on the business side of the equation.\u00a0 This is not an insurmountable issue.\u00a0 It just requires attention to the details that matter to an IT solution.<\/p>\n<p>The key is in the details.\u00a0 A problem definition needs to include these pieces to provide the context required for a solution rather than just an\u00a0answer to a question.\u00a0 For example, an RFP that defines the problem as a need for a website with a &#8220;contact us&#8221; form is overly simple.\u00a0 There is no context for a useful solution.\u00a0 Think about how the details below can help respondents craft a more meaningful response.<\/p>\n<ul>\n<li>Who are the primary users?<\/li>\n<li>When will it be used? (business hours, 24\/7, etc.)<\/li>\n<li>What is the expected response time for the pages\/functions?<\/li>\n<li>Are there constraints\u00a0or limits to the technology of the solution?<\/li>\n<li>Will it have to scale? To what level?<\/li>\n<li>How soon is the solution needed?<\/li>\n<li>What sort of budget do you have?<\/li>\n<li>What kind of company are you?\u00a0 (line of business, employees, sales)<\/li>\n<\/ul>\n<p>These details may seem like providing too much information.\u00a0 Nevertheless, these provide context for the solution.\u00a0 These details will help the providers craft a solution that meets your needs.<\/p>\n<h2 class=\"null\">Know The Respondents<\/h2>\n<p>As part of your RFP, you want to make sure you have the right people for the job.\u00a0 A good RFP document provides\u00a0a lot of detail about your company so it is only fair to request details about the respondents as well.\u00a0 In a similar\u00a0sense to the problem details, a good RFP requests several facts from the respondents.<\/p>\n<ul>\n<li>How long have you been in business?<\/li>\n<li>What does your typical\u00a0customer look like? (size, business, focus, etc.)<\/li>\n<li>Have any major changes to the company structure occurred recently?
